You are advised to make your own virus checks and to implement your own precautions in this respect. Soul Sanctuary exclude all liability for contamination or damage caused by any virus or electronic transmission.
By way of purchasing your class pass/membership you:
Confirm you have no physical limitations preventing you from participation.Consent to exercise under your own risk.Agree that any injury incurred before, during or after class is not the responsibility of Soul Sanctuary or any of their team members.Confirm that you have approval from your doctor to exercise. Understand that all applicants under the age of 18 years must have consent, in written form, from a parent or guardian. No under 16’s will be allowed into class and are not allowed to wait in the premises or studio unsupervised.Agree to abide by the rules and regulations of the studio and acknowledges that these rules and regulations may change from time to time. Release Soul Sanctuary, its owners, directors, managers and all employees of all liability regarding 1) any injury to self or child 2) any loss or damage to personal property. If purchasing packages that require payments to be made in instalments, the applicant agrees to approve such instalments be made by credit card on the dates as predetermined in the services contract.Understand that a class pass expires 6 months from purchase date. Understand that membership contracts have a 3 month non-cancellation or downgrade policy and refunds are not available.
Membership Contracts
Memberships can be upgraded at any time, with at least 2 weeks notice before the next payment is due. Downgrades or cancellations can only be made at the end of the 3 month non-cancellation period. After this 3 months period, you can downgrade / upgrade or cancel your membership through contacting the Studio Manager on info@soulsanctuarystudios.com at least 1 month prior to the start of your next contract payment. However, you may only upgrade/downgrade at the time of your next payment, it is not possible to change contracts, receive a refund or discount mid month. You can purchase memberships via the app. To set up a monthly Autopay, you will need to use a Credit/Debit Card on the desktop site, rather than the app.
You can set up an Autopay using Direct Debit, however this needs to be done in person/over the phone. Please note that direct debits do not allow for direct refunds through Mindbody, hence we encourage the use of Credit / Debit cards, to facilitate a simplified process.
Class
Payment for all classes must be received 7 days prior to the scheduled class date to ensure your place.
If you cancel your space in class before 6 hours from class start time you will not incur a cancellation charge.
If you cancel your space within 6 hours of the class start time, is considered a 'late cancel'. Late cancels incur a cancellation fee of £5.00 to your account, this can take up to 72-hours to be processed after class. This is to ensure that students who are on the waiting list have a chance to get to class and to prevent block booking without attendance. If you have put yourself on the waiting list, it is your responsibility to check if you are added into class.
We ask that students arrive 5-10 minutes before class start time. If you arrive after the class start time please do not come into the classroom. The cafe is closed for pre and post work classes so the front door will be locked at the class start time. We aim to promote respect for our students by starting and ending class on time and respect for teacher by arriving in time. Lateness results in the a late cancel charge as stated above.
Please prepare yourself before class - bring a towel, water, or anything else you need so that once you are comfortable on your mat you can stay for the duration. This includes ensuring that you don't need to leave due to parking expiration. Classes are full, with students seated close to the door so entering or leaving can be disruptive to fellow students' practice.
Block booking is prohibited - you will only be able to book up to 2 weeks in advance to ensure new students are able to attend class.
Soul Sanctuary teachers may cover each other's classes. No refunds will be given due to change of instructor.
At times, Soul Sanctuary studio may close or classes may be rescheduled or cancelled due to community members taking priority using the space, or if Soul Sanctuary teachers are on training, retreat or unavailable. No refunds will be offered for class change or cancellation. Depending on the duration of studio closure, a discounted monthly rate may be offered at Soul Sanctuary's discretion, in this case members would be notified accordingly.
Private Classes
Private classes last for 45 minutes and are deemed non-refundable if cancelled within 12 hours of class start time.
Workshops
Workshops are non-refundable and payment cannot be exchanged for other classes. Tickets are discounted according to valid membership at time of booking.
Offers
Offers may be given mid-month, no discount or refunds will be available for those who have purchased membership at original price.
Pregnancy
If you think you may be pregnant it is important that you email info@soulsanctuarystudios.com to let us know, all information will be confidential, but this allows us to direct you to pregnancy yoga appropriate classes and ensures you are safe in class. It is not recommended to practice yoga before 13 weeks. We are able to freeze your account during pregnancy but we do not offer refunds for the remainder of the month. We discourage and do not take responsibility for those who are pregnant and choose to attend non-pregnancy yoga classes. Only pregnancy yoga classes offer the time and attention required to ensure you are safe.
Please email info@soulsanctuarystudios.com to complete our Pregnancy Yoga Enrolment Form and share with info@soulsanctuarystudios.com before attending your first Pregnancy Yoga class.
Under 18's
We run kids & youth yoga courses during the school holidays, please see class schedule to book in. Under 18's are welcome to join regular classes with a supervising adult. Please email info@soulsanctuarystudios.com to check that the class is suitable for your child, the 90 minute classes are physically & mentally challenging. . Please email info@soulsanctuarystudios.com to complete the Youth Yoga form before your child attends class.
Please note we do not allow children to wait unsupervised outside of class or in the cafe.
The 'late cancel' charge also applies to Kids Yoga classes.
Privacy & Security Policy - Commitment to Data Security
Your personally identifiable information is kept secure. Only authorized employees, agents and contractors (who have agreed to keep information secure and confidential) have access to this information. All emails and newsletters from our sites allow you to opt out of further mailings.
Soul Sanctuary will never sell trade, rent, exchange or otherwise share your personal information with any other person, company or organization.
By purchasing your class pass or membership to Soul Sanctuary you are consenting that any images taken in or around the yoga studio can be used for marketing purposes, unless you have stated otherwise.
Changes to the information
Soul Sanctuary Ltd has the right to regularly review and, where necessary, update our privacy information. If we plan to use personal data for a new purpose, we update our privacy information and communicate the changes to individuals before starting any new processing. We provide individuals with privacy information at the time we collect their personal data from them. If we obtain personal data from a source other than the individual it relates to, we provide them with privacy information: within a reasonable of period of obtaining the personal data and no later than one month; if we plan to communicate with the individual, at the latest, when the first communication takes place; or if we plan to disclose the data to someone else, at the latest, when the data is disclosed.

Purpose of processing
We will only collect personal information from you which you have voluntarily provided by completing any subscription, enrolment, enquiry, application form or MINDBODY class booking, to keep you updated with Soul Sanctuary Ltd. monthly newsletters, updates and events.
Category of personal data obtained
Personal information includes your name and email address. Please note, by booking into class you are using the MINDBODY booking platform. Please ensure you are happy with your MINDBODY account information and preferences. Please be aware that the following auto emails are considered operational, so will be sent regardless of whether a client has opted out of communication preferences:

As quoted from the MINDBODY website: “MINDBODY stores all data in servers and backup servers located in the United States. Transfers of personal data
Personal data will not be transferred to any third parties, countries or international organisations. In the event of Business Transfer, where Soul Sanctuary Ltd. Would be purchased by a third party, the new owner may have access to user data, however the same level of data protection policy would apply and the new owner will update clients with their own privacy policy.

Lawful basis for the processing
The lawful bases for processing are set out in Article 6 of the GDPR.

The retention periods for the personal data
Data shall not be kept for longer than is necessary for purpose. If you have a 12 month period of inactivity; no access or initiation of links from classes, events, updates, newsletters etc. An email request to reconfirm agreement with contact being maintained will be sent.

In addition to asking you to submit personal information, we may collect information about you automatically when you visit the Website. This information is not normally personally identifiable.
